Office Administrator
We have an exciting new opportunity for an Office Administrator to join a successful and fast-growing business with lovely offices in Stoke. You'll be joining a business that delivers fully managed secure ICT services to the UK's Defence and Security sectors and to other government departments which have complex and demanding security requirements.

The role:
The Office Administrator will be responsible for the day-to-day running of the facility which houses the Operations and Engineering teams and will assist in areas such as purchasing support, facilities management, asset management and general business support tasks as required.


  • Acting as facilities coordinator for services used within the company's Operations & Engineering Facility, such as reporting equipment faults and co-ordinating repairs.
  • General administration duties in support of the Transition Delivery, Service Operations and Product Development teams
  • Providing support to head office purchasing requirements; liaising with all departments and sourcing materials, goods and services when required.
  • Organise/attend meetings to record minutes and ensure completion of agreed actions when required
  • Communicate with customers, suppliers, and staff as and when required.
  • Assist with the administration of corporate travel, hotels, and events as required.
  • Ordering stationery and office supplies for the Operations & Engineering Facility in Stoke on Trent
  • Managing and maintaining an asset database of IT licenses, care packs and support agreements of hardware and software items
  • Supporting the management of stock control on all IT assets, ensuring assets are logged, managed and tracked through the company Configuration Management Database (CMDB).
  • Assisting in the preparation of management reports for senior management awareness of services both in transition and live service
  • Manage and maintain the Request for Change process throughout the company
  • Produce the monthly report on SPLA licensing usage for transitional and live services and a breakdown of UKCloud costs
  • Record weekly timesheets for projects on excel using specific formulas
  • Update relevant documents i.e. employee registers, health and safety documents on a monthly basis
  • Update access cards and provide codes when appropriate.


  • Good Educational Background. Minimum GCSE Maths and English A-C.
  • Highly proficient in the use of Microsoft Office tools (Word, Excel, Outlook, PowerPoint).
  • Excellent communication skills, to include fluent English both written and verbal.
  • Previous experience in a similar role would be advantageous.

  • Demonstrable organisational and time management skills, including the ability to manage competing priorities, monitor and coordinate a range of processes.
  • Ability to plan for tight deadlines and achieve desired outcomes.
  • Excellent written, verbal and interpersonal skills with a keen eye for attention to detail.
  • Verbal skills and a confident telephone manner.
  • Ability to obtain a basic security clearance.
